Shipping Sterile RTU Vials: Integrity, Transport Risk and Receiving Checks

Shipping sterile RTU vials is a configuration-specific control activity. Packaging that leaves the factory intact must remain protected through loading, air or sea transport, storage and receipt. A clean receiving record does not replace transport simulation, shelf-life evidence or a packaging-integrity report.

Define the shipped configuration

Record the vial SKU and drawing revision, Nest & Tub or Tray format, sterile barrier components, carton and pallet configuration, label revision, shipment mode, route, expected duration and receiving site. Keep the approved packaging specification with the shipment record.

What to check before dispatch

  • Confirm the nest, tub or tray, any specified protective inserts, sterile-barrier components, bags, seals, carton and pallet match the released configuration. Do not assume a Tray configuration uses the same protective components as Nest & Tub.
  • Verify case, pallet, sterile-barrier and handling labels are legible, matched to the batch and protected from abrasion or moisture.
  • Record package count, pallet pattern, gross weight, dimensions, shipping marks and any orientation or stacking limits.
  • Agree the route, carrier hand-offs, air or sea mode, expected transit window and escalation contact before release.

Sea and air routes need separate assessment

Sea freight may involve longer dwell times, transshipment, container humidity and condensation. Air routes may involve pressure changes, ramp exposure and multiple handling transfers. Road legs and warehouse stacking also contribute to the load history. Confirm which conditions and durations the selected configuration’s evidence covers; changing mode or route may require reassessment. Do not infer an approved cold chain, temperature range, stack height or transit duration without configuration-specific limits.

Do not publish a universal transport qualification, shelf life or opened-pack use period. Simulation, package-integrity reports, storage conditions and any in-use time after opening must be requested for the actual SKU, packaging revision, sterilization route and destination.

Receiving inspection checklist

Do not open a sterile barrier in the receiving area merely to complete this checklist. Mark inaccessible checks as deferred to the approved controlled transfer/opening stage. Visual inspection cannot establish sterility or exclude hidden package defects. Quarantine the affected units and assess the wider shipment when a critical discrepancy is found. Photograph the outer condition and preserve labels, seals and shipping records before opening or repacking.

Storage, expiry and the opened-pack use window

Use the current approved specification, batch labels and quality agreement for storage conditions and unopened shelf life. A provisional or development-stage duration is not a commercial shelf-life commitment. If the applicable expiry or supporting evidence is missing or conflicting, hold the material for clarification rather than assigning a default period.

Opening the bag or sterile barrier changes the protection conditions. Agree the maximum time from each opening step to use under the facility’s qualified transfer and aseptic process, including pauses and interventions. Record opening and use times. Do not assume unopened shelf life applies after opening or that re-closing a bag restores its validated status.

When a shipment should be held

Hold and notify the agreed quality contact for a torn or wet sterile bag, broken seal, missing or conflicting label, crushed packaging that could affect the sterile barrier, evidence of contamination, unexplained quantity variance or a temperature or route excursion where controls apply. Do not re-label, re-bag or release affected material without the customer quality procedure and documented disposition.
